2025-26 Facility Usage Agreement

This agreement is made and entered into as of date of signature between “Client” and Bethany Lutheran Church, “BLC”.
1.  SERVICES:  BLC agrees to provide the following services to the client:
DETAIL OF FEES AND RESERVATION:
A.  ES-Report calendar of events, that includes Client's season reservation.
  • Includes room rates and additional requested items.
  • Additions or changes:  may be made up to 4 weeks prior to the reservation.
  • Cancellations:  two months' notice is required to receive any possible refunds. 
2.  HANDOUTS:  Given with Facility Space Use Agreement
3. FACILITIES POLICY HANDOUT - by your signature, Client agrees to the policy and its terms and conditions.  Updated 2/1/25
4.  REQUEST OF CERTIFICATE OF INSURANCE:  include a copy of certificate with up to $1,000,000 coverage with Bethany Lutheran Church listed as additionally insured. 
  • 30 MEMBERS OR LESS:  no additional insurance is required. 
    • If such groups hold a concert at BLC, with numbers exceeding 30, additional insurance can be purchased for the group at an additional charge.
5.  PAYMENT:  The Client agrees to pay BLC:
  • SECURITY DEPOSIT:  The Client agrees to pay a non-refundable amount decided by Bethany Lutheran Church within one week of signing this agreement to hold calendar dates and rooms.
    • Late payment may result in loss of your reservation with BLCE and Bethany Arts and Events.
  • PAYMENT SCHEDULE:  Payment is expected at the time of event, or arrangement must be made and agreed to by both parties.  Regular weekly clients may set up a monthly payment plan.
6. ACTS OF GOD:  If for any reason, the campus is not available for use due to power outages, extreme weather conditions, or any other circumstance out of the control of the Service Provider, BLC with Bethany Arts and Events will work to resolve this situation with a make-up date, when possible, or a partial refund will be considered.  
7. TERMINATION:  Either party may terminate this Agreement within 30 days written notice to the other party.  In the event of termination, Bethany Lutheran Church with Bethany Arts and Events shall be compensated for all completed services up to the date of termination.
8. TERMS:  This Agreement shall commence on July 1, 2025, and shall continue until June 30, 2026, or until the services are completed, whichever occurs first.
